
Strengthening Our Systems to Support You Better
From 3 March, you may notice a few small changes in how we send information and request documents.
Before anything else, we want to be clear - this isn’t a major overhaul, and there’s nothing new you’ll need to learn. You won’t need new logins or new software. You’ll still be able to pick up the phone and speak to us as you always have.
What’s changing is simply the system we use internally to manage client work.
As our client base has grown over the years - more farming families, more regional businesses, more complex structures - we’ve taken the time to review how we keep everything organised behind the scenes. During busy periods like harvest, BAS time, or year-end, there are a lot of moving parts. We want to make sure that no matter how busy things get, your work is tracked properly and completed on time.
To support that, we’re introducing a new internal system called Karbon.
You won’t need to use it directly. It simply helps us manage jobs, deadlines and communication more clearly on our end.
Why We’re Making the Change
This isn’t about adding complexity. It’s about tightening up our processes so your work runs more smoothly.
The new system allows us to:
Track every job from start to finish, with clear accountability
Keep deadlines visible, especially during peak periods
Send structured information requests so you know exactly what we need
Keep communication in one place if multiple people in your business are involved
Over time, small inefficiencies add up - long email chains, missing attachments, unclear document requests. This change helps reduce that back-and-forth and makes things clearer for everyone.
At the end of the day, it’s about protecting your time and making sure nothing slips through the cracks.
What You’ll Notice
For most clients, the changes will be minor.
You may see:
Emails that look slightly different
Some communications will now come through a secure system link rather than a standard email format. That’s normal.
Secure document upload links
Instead of attaching files to emails, you’ll be able to upload documents directly through a secure link. This reduces the risk of lost attachments and keeps sensitive information safer.

A Practical Example
Rather than receiving several emails asking for different pieces of information, you may receive one clear request outlining:

If more than one person in your business is involved - for example, a bookkeeper, family member or business partner - everyone can see what’s outstanding and what’s been provided.
It keeps things simpler and more transparent.
Encouraging a Move from MYOB to Xero
As part of improving how our systems connect, we’ll also be encouraging clients to consider moving from MYOB to Xero over time.
The reason is straightforward. Xero integrates more cleanly with our internal systems, which reduces double handling and manual workarounds. That means more efficient reporting, better visibility of your numbers, and fewer administrative delays.
